Overview

TimeCoPilot brings together scheduling, task management, note-taking, and goal tracking into one unified workspace, so you always know what to focus on next. Use this guide to learn where everything lives, how to perform common actions, and how each area connects to create your complete productivity system.

How the workspace fits together

  • The Home dashboard provides quick navigation to all four core areas: Schedule, Goals, Todos, and Notes.
  • Each goal can include tasks, milestones, and progress notes to keep all related planning in one place.
  • Auto-save keeps your workspace synced across devices with visual status indicators (Pulling, Saving, Synced). Your data persists automatically even when navigating away or closing the app.

Where to start

  • Use the "Create" or "Add" buttons in each section to quickly capture ideas—you can turn them into detailed plans later.
  • Open the AI Assistant in Todos or Notes to create multiple items at once or get help organizing your workspace.
  • Use search bars in Goals and Notes to instantly find what you need. Filter todos by Active/Completed and goals by category or status.

Getting Started

Private Beta Access

TimeCoPilot is currently in private beta. Accepted users receive a temporary password and must complete a mandatory password reset on first login via the login page.

Our team is actively building features, fixing bugs, and onboarding new users. Have a question or feedback? Reach out to us here!

  1. Once accepted into the private beta, you'll receive an email with a temporary password. You must complete the password reset flow on your first login.
  2. From the Home dashboard, explore all four core areas: Schedule, Goals, Todos, and Notes.
  3. Open Settings to customize your preferences and personalize your experience.
  4. Start creating: add calendar events, set a goal, capture some todos, or create your first note folder.

Helpful beta tips

  • The cloud badge in the header shows Pulling, Saving, or Synced status. All changes are automatically saved when navigating away or closing the app, so you'll never lose your work!
  • Add @timecopilot.app to your safe senders list so password reset emails reach your inbox.
  • Contact support if something feels off—beta builds evolve quickly, and we can usually patch issues within a few days.

My Schedule

Manage your calendar with three flexible views. Star critical events to make them stand out at a glance.

  • Switch between My Day (hourly), My Week (weekly grid), and My Calendar (monthly overview)
  • Real-time indicator in My Day shows exactly where you are in your schedule
  • Star important events for instant visual recognition across all views
  • Create events with title, time, and description—get alerted about scheduling conflicts

My Todos

Capture and prioritize tasks with a flexible priority system. Organize across Active and Completed tabs, or use AI to create multiple tasks instantly.

  • Four priority levels with color coding: None, Low (blue), Medium (amber), High (red)
  • One-click priority cycling—just tap the colored dot to change levels instantly
  • Drag and drop tasks to reorder your list however you like
  • Separate Active and Completed views with bulk actions to clear finished tasks

My Notes

Build a personal knowledge base with folder-organized notes and powerful rich text editing. Let AI create entire folder structures instantly.

  • Full rich text editing: headings, formatting, colors, lists, and tables
  • Customizable layouts from 1-4 columns—your preference saves automatically
  • Drag and drop notes to reorganize within folders effortlessly
  • Search across all notes and copy with formatting intact

My Goals

Transform aspirations into achievements with flexible tracking methods and detailed progress planning. Celebrate wins with confetti when you crush your goals.

  • Four tracking methods: Manual (%), Checklist (sub-items), Metric (numeric), or Habit (frequency)
  • Six categories to organize: Personal, Work, Health, Finance, Learning, Miscellaneous
  • Layer in tasks, milestones, and progress notes for comprehensive planning
  • Search, filter by category/status, and sort by deadline or progress. Archive when complete

Suggested Workflows

TimeCoPilot works best when all features work together. Try these lightweight rituals to connect tasks, notes, goals, and calendar events into a cohesive weekly rhythm.

Weekly Planning

  • Add events to My Schedule for important meetings and time blocks throughout the week.
  • Create task lists in My Todos for each day to stay organized and focused.
  • Set up goals to track your progress on important objectives throughout the week.

Daily Execution

  • Review your task list in My Todos to see what needs to be done today.
  • Add notes during meetings to capture important information and action items.
  • Check your schedule regularly to stay on top of upcoming events and commitments.

Friday Review

  • Create a weekly reflection note to capture key insights and learnings.
  • Update goal metrics and add progress notes documenting the week's achievements.
  • Clear completed todos and archive finished goals to keep your workspace focused.

AI Assistant

Open the AI assistant from the sparkle icon in Todos or Notes. It understands your context and can create multiple items at once, answer questions about features, and help you organize your workspace efficiently.

  • "Make a 'Project Ideas' folder with 3 notes about different product directions."

Working with answers

  • When you ask the AI to create items, they appear immediately in your workspace—no extra steps needed.
  • The chat interface maintains conversation history, so you can ask follow-up questions naturally.
  • Context-aware responses: the AI knows where you are in the app and adjusts accordingly.
Beta Note: The AI assistant is currently available in Todos and Notes. Version 5 will expand AI capabilities to Schedule and Goals with intelligent planning, smart prioritization, and proactive suggestions based on your productivity patterns.

Settings

Open Settings from the left navigation (or the hamburger menu on mobile) to manage your account, change your password, and customize your experience.

Account Management

  • View your account email and current TimeCoPilot version.
  • Change your password securely (requires current password for verification).
  • Access dark mode toggle for comfortable viewing in any lighting.

Time Preferences

  • Choose between 12-hour (AM/PM) or 24-hour time format for your schedule.
  • Set your preferred week start day (Sunday or Monday) for calendar views.
  • More customization options coming in future updates!

Frequently Asked Questions

How do I sync my data across devices?

Your data is automatically synced to the cloud when you're logged in. Simply log in to your account on any device to access everything.

Is my data secure?

Yes! We use industry-standard encryption and AWS security measures to protect your data. Your information is stored securely and only accessible to you.

Can I export my data?

Data export features are coming soon. You'll be able to export your todos, notes, and other data in standard formats.

How do I change my password?

After logging in, look for the "Change Password" option. You'll need to enter your current password and then your new password. Your new password must be at least 8 characters long and include an uppercase letter, lowercase letter, number, and special character.

I forgot my password. How do I reset it?

Click "Forgot Password?" on the login page, enter your email, and you'll receive a verification code. Use that code to set a new password.

Why isn't my data saving?

Check your internet connection and try refreshing the page. Make sure you're logged in. If the problem persists, please contact support.

Are there keyboard shortcuts?

Yes! Use Cmd+F (Mac) or Ctrl+F (Windows/Linux) to quickly search within Goals and Notes. More shortcuts coming soon!

Can I delete my account?

At the moment, account deletion is not available. Please contact support if you need assistance with this.

What's the latest version?

You can check your current version and see the latest updates in the app after logging in, or view the full changelog.
